This is how not to handle expense management in your business. Whilst a substantial part of managing expenses can be compartmentalized into how people make claims, and how those claims are processed, there are times when you’d benefit from thinking outside the box.

To illustrate the point, I’m going to look at telephones, the way your business uses them, and the way changing that can be part of an expense management strategy. Many years ago, in another life, I asked a senior manager how much he spent on line rental and calls for the fax machines in his business. He didn’t know, and asked his secretary to being in the relevant invoices.

She appeared carrying two large ring binders. Looking at them, he asked her for just the fax machine invoices. She pointed at the binders. “Those are the fax machine invoices,” she said.

He had no idea at the scale of the costs involved, and we immediately set about reducing them. And there’s the lesson: Show me any cost you’re not controlling, and I’ll show you an unnecessary expense.

Of course, fax machines are consigned to history with quill pens and carbon paper, but let’s stick with telephones; we still use those. Here are some areas in which you might be spending too much for mobiles, (and here’s the important part) without being aware of it.

1. Data roaming: Set up a company policy that it should be turned off except for short periods to allow emails to be delivered or sent, rather than being on 24/7. Data roaming charges can be high, and can mount significantly if you have a large number of employees travelling

2. Use one company: Don’t have a series of providers. Restricting services to just one allows you to negotiate better deals for new handsets and connectivity

3. Go for VOIP: For office phones there are lots of ways to use the internet to make calls, giving the traditional desktop phone a new lease of life. VOIP stands for Voice Over Internet Protocol, and means there’s no need to have a traditional phone contract, so long as you have good broadband connectivity. Providers of phone systems like this will usually deal with you on a rolling monthly contract, and their systems are extremely, so you can add or subtract handsets almost at will.

4. Be careful with perks. If employees are able to use company phones for personal use (and we’re back to mobiles here), then that permission should be restricted. OK, make short personal calls, but talking for hours to an aunt in Australia, or streaming a box set to a hotel room in Berlin could soon set you back a considerable – and unwelcome – amount.

5. Don’t leave legacies. When an employee leaves the company, make sure to cancel or transfer their part of the phone number, and don’t toss the handset into the back of a drawer. Re-use it, or send it for recycling _ once you’ve cleared any company data from it.

More than just number reduction

Consider the benefits that come alongside mobile phone use, and blurring the distinction between company and private life. When you’ve automated your expenses by implementing a solution based on business expense management software using an app, everyone’s going to need a phone so they can use your system.

Allowing an employee to make personal calls, to that agreed cost limit, might have a payback in loyalty. It might mean they’re more amenable to taking a work-related call out of hours, as part of a bit of give and take – but make sure that you track the benefit so that all the necessary tax is paid. There’s no future in saving money by cheating the taxman.

Applying this kind of thinking to all aspects of your business can make a significant difference to your bottom line, and be a useful ally to your business expense management software.

There is real human suffering happening in our country and around the world, but we all have to step up to help because here’s the reality, we’re all in this thing called life–together. No one is better than anyone else. And, as the adage goes, “There but for the grace of God go I.”

Is it just me, or are you tired of the relentless stream of neurosis, disrespect, screaming and shouting that is dividing us on almost any and every level? If there’s an idea or statement made, there seems like there’s going to be someone out there who will take on the issue and as quickly as you can snap your fingers, there’s debate, particularly on social media. I have seen several conversations shut down in nonprofit and church social media groups, which is ridiculous when you think about it, because if people can’t have substantive and productive debates and discussions in these areas, where can they discuss critical social issues?

Here’s my message: We’re better than this.

I believe that nonprofit, civic and religious leaders can play a part in elevating the civil discourse.

Social networking has been great because, in practical ways, it has broken down borders. Connecting with people around the world is easy. For many organizations and groups, social media has brought down marketing and advertising costs considerably, raised awareness and leveraged resources.

But, I think that as we’ve become more “connected,” there’s incredible division. Divisiveness has got to stop.

Church, civic and nonprofit leaders can help our communities heal.

Do you remember the Golden Rule?

The Golden Rule was simple, and I think leaders should remember it each morning as they head to work and ask that their teams adhere to its tenets.

The Golden Rule has a religious origin. It came from the words that Jesus said in the “Sermon on the Mount.” The principles became religious teachings incorporated into the Bible.

Matthew 7:12: “So in everything, do to others what you would have them do to you, for this sums up the Law and the Prophets.”

Those words are so simple–treat others as you would like to be treated.

I think our society is in a precarious place. We are not listening to each other. We are shouting and screaming past each other. We are ignoring each other.

And, here’s the bigger thing for me–many of us are expecting attention and the world to hear us, and we are not giving others the same respect.

This has got to stop.

I think nonprofit, civic and church leaders are in a unique position. Often, because of their position in communities, they are leaders.

One of the most effective ways to do this is to make sure you use the appropriate keyword (s) for the job posting. So we know that most companies are using parsing software in reviewing resumes. This software is designed to filter for keywords from the resumes they receive. This software will look through resumes for these keywords.

So simply put keywords are those words that easily describes the position you are applying for. In the example above the position is business development professional. So what words immediately come to mind with this position? Correct, business development. Therefore you will want the keywords to be the words business development. To tell your story you should use these keywords in a natural story telling manner.

Highlight Your Experience

Many professionals have a wealth of valuable relevant experience to share. The key is how much of this experience should you share on your resume? Resumes are parsed and if selected will be reviewed by the employer for about 20 seconds or less. In resume writing it is totally acceptable to construct a 2-3 page resume if you are applying for an executive level position. All other positions 1-2 pages are common. Remember most employers know that the average job seeker has three plus jobs in their career. The length of the resume is not as important as the use of keywords and highlighting your relevant experience and qualifications. The only experience you should highlight are those experiences that apply to the job. As mentioned above you should naturally tell your story using keyword and relevant job experience.

High Performance Teams

How does your team perform? How do you rate it on a scale of 1 to 10 where 1 is poor and 10 excellent? Is it massively successful constantly delivering way past all expectations? Is it full of positively minded people working together to achieve challenging business goals? Is it autonomous, responding effectively to challenges and opportunities large and small?

If the answer to these questions is “yes”, congratulations, you can score a 10 and don’t need to read any more of this article. In fact, as you are likely to have plenty of time for high yield activities, give me a call to discuss how your team got there.

Sadly, this isn’t the case for most of us. Your team may not be a “10” but I doubt if it’s a “1” either. Hopefully you are somewhere on the path and have the right attitudes, values and approach develop your team into a “10”.

Empowerment is a key ingredient to the high performing team. If your team feels undervalued, lacking in authority and capability, frightened to make the slightest mistake it’s unlikely to be hitting the high notes. Perhaps there are some individuals that show real potential but others are negative and unproductive?

Are you creating the right conditions for success? Does the team have a clear understanding of what is required of them? Have you a vision of what success looks like? Are the goals you have set, or been set, shared and meaningful to all team members? Reward and fear motivation is common in business today. A common example is rewarding success with a bag of money and punishing failure with the sack. The trouble is we get used to this, we need more and more money to get the same level of motivation and become resilient to threats of the sack.

Internal motivation is far more lasting and effective. It needs more work, it needs you to really understand your people and what drives them. If you know this and use personal, meaningful goals your team will self-motivate. If you have linked their personal, meaningful goals to team and company goals you are well on the way to a successful team.

The whole team is raring to go, but have they the capability to execute? Are team members allowed to make decisions? Have you delegated effectively packaging the task with the necessary authority and resources? Effective delegation is important to team success and team growth. It is a wonderful growth tool for teams and individuals. It does, however need certain attitudes and process to succeed.

Flexibility is a good starting point. The way you do a task may not be the way a team member does. They can be innovative and bring unexpectedly good results given the opportunity. It’s worth letting people test out new ideas. Sometimes different is really good, just think of Amazon and Facebook.

How self-confident are you? Enough to release authority and responsibility to team members? Enough to heap praise publicly when they bring success? Lack of self-confidence and micromanagement are the enemy of productivity. Conquer them and you will become an indispensable profit and productivity generator both for yourself and your company.

Focus on results don’t strive for perfection. Perfect is no friend of productivity. Set standards that are right for the job and always be mindful of the Pareto principle. 80% of your results are going to come from 20% of activities. This means a lot of the work delegated will contribute relatively little to overall performance. It’s intelligent to accept less than perfect in relatively unimportant areas.

Taking credit for the work of others, not really listening to their ideas or working solo crush team morale and productivity. Some people believe effective leaders must always be in total control. They see this as the way “good bosses” should behave. Many bosses do behave this way but I question if they are good. It’s most certainly not the way a good leader behaves so, if that’s what you want to be I suggest you avoid this behaviour entirely.

Delegation develops employees into effective team members. Risk is inherent but you can balance it against the likely reward in terms of personal and team growth and overall performance. It’s also possible to limit risk by adopting a multi-level delegation process.

Tiffany is a bright, driven girl with her foot on the first rung of the marketing ladder. She is doing a great job creating very successful direct mail campaigns. She is eager for something new and looks like a good candidate for development. You have just the task and would like to delegate it to her. It’s running an event which will be a challenge for her but offers a great development opportunity.

A good first step is to her for an opinion. You might say “I’m thinking of doing things differently and wondered who you think might be able to handle this task, perhaps even you? This gives her the opportunity to express opinions but not feel forced to accept the task.

If Tiffany accepts, consider this approach. The first time the opportunity to run an event comes along you run it, let her watch you do it and ask questions. The second time let Tiffany do it with you assisting and helping out where needed. The third time she runs the event, but this time without your support unless absolutely needed, reporting at regular intervals. Subsequent times she always runs events unaided and only reports in exceptional circumstances.

One seemingly small point is very important for Tiffany’s confidence and status in the team. If she performs well, make the praise loud, long and public. If she needs coaching make it supportive, private and non-judgemental.

Make More Sales By Being Contrary

Here’s something I’ve been playing with, and my results have been pretty good, too.

A few months ago a friend was launching a big product with lots of cash prizes for the top affiliates. I knew there would be tons of affiliate competition, with every affiliate trying to out-do the others with bigger and better bonuses.

How to compete?

I decided not to.

Instead, I thought about what every affiliate’s bonus pages would look like: Highly polished, slick, professional, lots of graphics, videos, etc.

Odds are they would all start to look very much alike, right?

So I thought… what if I did something different?

What if my page looked like something you might get in the mail – black and white sales letter, using the Courier typewriter font, very old-school looking…

And what if, instead of a highly polished professional photo of myself, I used one where I just woke up? Or one where I just finished exercising, or just finished the yard work?

In other words, I looked like the guy next door and not some slick marketer.

Taking this thinking to the next level, I decided I didn’t want to spend time or money on creating a bonus. Everyone else was doing that, so why should I?

Instead, I would hold a live class. The homework would be to go over the program before class. Then in class we would implement, step-by-step, what was in the program. And I would record the whole thing, so people could just follow along.

In case you’re wondering – it worked beautifully. My sales were a very decent 5 figure number, and my commissions were half that plus bonuses.

And one more thing – I cheated, too. I had my virtual assistant run the class for me. She got to learn some great new skills, and I put less than 2 hours into the entire project.

The takeaway: When you have a lot of competition, it’s time to stop directly competing and find another way.

If they are using tons of graphics and slick videos, you go with a 1980’s black and white typewriter look.

If they are offering bonus packages filled with 5, 10 or 20 products, you offer no products (I offered hold-your-hand training, which in my opinion is worth far more anyway.)

You get the idea.

Do you know what would work even better than that?

MAILING the actual letter. Yup. Talk about old school. If you collect real addresses of your BUYERS, you might consider doing this on big ticket items.

I know marketers who do this. They are few and far between, and they are KILLING it. They only mail to buyers, which greatly improves their conversions. They use a service to send out the mailers for them. And they make more on one of these mailings than most successful marketers earn in 6 months.

Which brings me to my second idea… if you don’t already have the mailing addresses for your buyers, start collecting those now.

When you have a sizable portion of them (at least 200, preferably 500) approach a marketer with a product your list would love. Make sure there is plenty of profit in that product. Take the sales letter, adapt it to a black and white mailer (cheap to produce) and send it to your buyers.

See what happens. Tweak, rinse and repeat.

You can easily DOUBLE your income using this method.

Know why? Again, because it’s contrary. It’s different. Almost no one is doing it.

Your customer gets maybe a half dozen pieces of mail in a day. Two are bills. Two are sales flyers from local businesses. One is a catalog.

And then there’s that mysterious white envelope. Yeah, it’s going to get opened. Yes, it’s going to get read.

The Alternative Investment Fund Regulations

What is an Alternative Investment Fund (AIF)

AIF is an Alternative Investment Fund Regulations privately pooled investment vehicle which collects funds from investors, whether Indian or foreign, for investing it in accordance with a defined investment policy for the benefit of its investors. AIF may be in the form of a trust or a company or a limited liability partnership or a body corporate.

Why AIF

AIF Regulations endeavor to extend the perimeter of regulation to unregulated funds with a view to ensuring systemic stability, increasing market efficiency, encouraging the formation of new capital and consumer protection.

Who are not covered

Currently, the AIF Regulations do not apply to mutual funds, collective investment schemes, family trusts, ESOP and other employee welfare trusts, holding companies, special purpose vehicles, funds managed by securitisation or reconstruction companies and any such pool of funds which is directly regulated by any other regulator in India.

Categories of AIFs

An AIF needs to seek registration broadly under one of the 3 categories –

Category I AIF: The following are covered under Category I

1. Funds investing in start-up or early stage ventures or social ventures or SMEs or infrastructure

2. Other sectors or areas which the government or regulators consider as socially or economically desirable including the Venture Capital Funds

3. AIFs with positive spillover effects on the economy, for which certain incentives or concessions might be considered by SEBI or Government of India or other regulators in India

Category II AIF: The following are covered under Category II

1. AIFs for which no specific incentives or concessions are given by the government or any other Regulator

2. Which shall not undertake leverage other than to meet day-to-day operational requirements as permitted in these Regulations

3. Which shall include Private Equity Funds, Debt Funds, Fund of Funds and such other funds that are not classified as category I or III

Category III AIF: The following get covered under Category III

1. The AIFs including hedge funds which trade with a view to making short term returns;

2. Which employ diverse or complex trading strategies

3. Which may employ leverage including through investment in listed or unlisted derivatives

Applicability of AIF Regulations to Real Estate Funds

After knowing what an AIF is and its broad categories, we analyse whether AIF Regulations are applicable to the Real Estate Funds

Firstly AIF has to seek registration under AIF Regulations under one of the three categories stated above. Therefore if a Fund does not fall under any of the three categories stated above, then it will not seek the registration with SEBI.

If we look at the Category 1, registration is required by funds which invest in start-up or early stage ventures or social ventures or SMEs or infrastructure

If we look at the definition of infrastructure, Explanation to Regulation 2 (m) states that Infrastructure shall be as defined by the Government of India from time to time.

And in the normal parlance, the term typically refers to the technical structures that support a society, such as roads, water supply, sewers, electrical grids,

telecommunications, and so forth, and can be defined as “the physical components of interrelated systems providing commodities and services essential to enable, sustain, or enhance societal living conditions.

Therefore infrastructure does not include the real estate or construction activity since this activity deals in investing in land, developing the land by way of construction of flats, townships and other residential and commercial projects.

But if the real estate fund carries on certain projects for a social purpose like purchasing land for charity etc.; then the fund may be covered under social venture funds.

The clause further states that ‘or other sectors or areas which the government or regulators consider as socially or economically desirable and such other Alternative Investment Funds as may be specified;’

The AIF Regulations have been notified just a few days back and till date, no other AIF funds have been specified in the Category 1 by the Government. Further what the government or regulators consider as socially and economically viable is a very broad concept. However, till the Government specifically comes out with specific inclusions under Category 1; a Real Estate Fund will not be covered under Category 1 and therefore would not require Registration.

Further, the clause also states that – Alternative Investment Funds which are generally perceived to have positive spillover effects on economy and for which the Board or Government of India or other regulators in India might consider providing incentives or concessions will bee included

By adding these lines to the Category 1, SEBI has made the category 1 very vague and open to dispute and litigations since what SEBI intends with positive spillover effects on the economy is not defined or clarified. Different people or organizations may have a different opinion on this which would lead to unnecessary litigations and hardships to business owners. However, till any clarity comes on this, the business owners need to take a cautious approach to the decision of seeking Registration under AIF Regulations.

Category II AIF

Now we examine whether a Real Estate Fund falls under the Category II AIF

If we look at the funds covered by Category II above, they

1. Shall not fall in Category I and III

2. Shall not undertake leverage or borrowing other than to meet day-to- day operational requirements and as permitted by these regulations;

3. Shall be funded such as private equity funds or debt funds for which no specific incentives or concessions are given by the government or any other Regulator

For Real Estate Fund under Category I, we notice that at present it does not fall under Category I and it also does not fall under Category III since these are basically hedge funds. Further, no specific incentives or concessions are given by the Government to the Real Estate Sector. Therefore if we look at the applicability of Real Estate Fund under Category II, these funds may fall under the Category II AIFs if they do not take leverage or borrowing except for short-term requirements.

Impact of AIF on the Real Estate Funds

Under these Regulations, the minimum investment amount has to be Rs 1 crore from each investor. Therefore attracting the funds from the investors would become tough for the real estate funds, who used to raise amounts as less as INR 1 million from the investors. Now they would need to find high-value investors though this is not the only challenge that lies ahead for those raising domestic corpuses. They now also have to invest 2.5% of the corpus or Rs 5 crore, whichever is lower, to ensure that the managing company’s risk is aligned with that of the investor. Moreover, a single investment in a company or a project cannot exceed 25% of the entire corpus.

Further a Real Estate Fund registered in the form of an LLP also would be covered under the AIF Regulations. In an LLP Structure, since the investors are also partners, the risk to the rights of the investors being misused is very minimum. Therefore applying the AIF Regulations to the LLP Structure would reduce the flexibility available to such a Structure.

Conclusion

If we look at the AIF Regulations from a short term perspective, in light of the difficult fund raising environment today, the higher ticket size for investors could potentially throw up some challenges and could in a manner constrict the growth of the asset class, but clearly, in the long run, these regulations appear to have an element of maturity to play a pivotal role in the development and shaping up of the future of alternate asset class in India. It is also clear that alternative investments are more sophisticated and risky as compared to investments in equity and debt and till market matures it is advisable that only HNIs and well informed investors make an investment in this asset class and once the market matures it is made open to all. In the long run, we may see more investments in the Alternative asset class (in terms of quantum and maturity) due to the increased investor confidence in these funds.

EXECUTIVE SUMMARY

Present the business mission statement here. Include as well the date the business was formed; the leadership team and other key management personnel; the credentials or experience that make you and the leadership team uniquely qualified to launch and successfully run the venture; the business legal structure (LLC, Sole Proprietor, or Corporation); the products and services; one or two key competitive advantages; a concise overview of sales projections; and the amount of capital needed if recruiting investors or obtaining bank financing is a goal.

BUSINESS DESCRIPTION

It’s traditional to present a brief description of your industry and its outlook, nationally and regionally. Give the details of your products and services and briefly discuss how they’ll be used by target customers. Identify whether the venture is B2B, B2C, or B2G. If the organization holds a patent, review the competitive advantages that it will convey. Have there been any technological advances that will help or hinder the enterprise? Divulge the details here.

MARKETING

This element is a big tent that encompasses sales, product or service distribution, competitors, advertising, social media, PR, networking, branding, customer acquisition and pricing. Plans written for a small organization will spotlight the role of marketing because for Solopreneurs, success hinges on identifying and reaching paying clients, as well as pricing the services advantageously.

FINANCE

Whether you’re wealthy enough to self-finance or the venture is small and not especially demanding of capital investment, the leadership team nevertheless needs to know with a reasonable degree of certainty how much money will be required to achieve important goals.

The plan might be written to support financing for the acquisition of new office space, additional staffing, or manufacturing equipment. Some people think that preparing for a job interview is fairly simple. Once you get the call to come in for one you essentially have the job unless you blow the interview. In fact, getting the interview more times than not is easier than the actual interview itself. The first step is having a great resume. There are plenty of good examples on the internet for samples but those are also mixed in with bad ones. Some keys things that you want in your resume are; having as many numbers as possible. It’s much more eye opening for an employer to see you raised over $10,000 in revenue during your 8 week internship than saying you raised a lot of money. Another thing is to make sure the formatting is done correctly. Make sure that everything lines up nicely and that you stay consistent on your word usage such as tenses. Also make sure to use a different starting word for the description of your prior positions. Then there are the more basic things such as make sure there are no spelling or grammar mistakes because that can instantly lose you an interview chance. LinkedIn is similar to your resume but where your resume should only include your most important and relevant things since it should only be a single full page, your LinkedIn page should include everything you’ve done. It should be a page that an employer can visit and see where you went to school, what you did there, how you did there, strengths, weaknesses, and any jobs you had up to this point.

Now if a company has asked you to come in for an interview, this is where you start researching that company. Everyone has many strengths and weaknesses, but this is where you need to see the companies values and what not and tie your best strengths to those values. It’s also where if you have a weakness of time management and their biggest thing is to have great time management, that’s a weakness you shouldn’t bring up. This next part isn’t always possible but now a days companies will let you know who you are interviewing with or it is the HR recruiter who told you that you have an interview. This is where you should look up the interviewer on LinkedIn, connect with them and learn some things about them. That way you can ask them questions more directed at them at the end of the interview. You should also ask your recruiter what specific position you are interviewing for so that you can plan accordingly for that one. Now it’s time for the dress code during an interview. Almost every job will want you to come in dressed business professional.

Even if they don’t say it, a common saying in business is that it is better to be overdressed than under dressed. For those who don’t know, business professional is a suit collared button down shirt with a suit jacket that matches the dress pants and a tie. I understand you might not already have a suit or that you don’t have the money to buy one. Some companies might understand and in that case you can just come in business casual which is business professional but without the suit jacket. If the company insists you be business professional which is understandable as you might need a suit during your job, such as if you’re visiting a client or on a company dinner. Then a possible substitute is to get one from Goodwill as they usually have an okay selection of them and can actually still be in pretty good condition. This is of course like a flat tire where it should only last you until you have the money to replace it with a real suit.

Now before the interview you should know exactly where the interview is happening at and any more specifics like if it’s in a specific room. If you are supposed to arrive at 10:00AM, leave so that you get there anytime from 8:00AM – 9:00AM. This will leave you plenty of time in case you get stuck in traffic, lost, or need to stop for something. The great part about getting there early is that you can continue to practice for the interview. One way of practicing is by looking up common asked interview questions so that you can be more confident going into the interview.

Now during the interview you’re going to want to shake every persons hand in the room whether there are two people or twenty. With the handshake make sure to have a firm grasp and go directly in, not from an upper angle or lower angle. Seems petty but some people think if you are coming in for the handshake from an upper angle, it’s you trying to show dominance. When shaking hands make sure to look the person in the eyes and introduce yourself. Then when you begin your interview make sure to calm yourself down. This will help you not to ramble on answers and or forget answers. If the interviewer asks a tough question, you don’t have to respond right away. Ask them if you can take a second to think about the answer. Most interviewers will like that you are willing to think first instead of going right into the answer. After the interview, the interviewer will ask if you have any questions. NEVER SAY NO! That can ruin your entire interview because most interviewers are waiting for questions and asking none can leave them with a bad taste in their mouth. Make sure to have 2-3 pre-planned questions and then try to think of 2-3 questions during the interview. That way you can easily ask three or four questions. After you’re done with questions make sure to shake everyone’s hand again and thank them for their time. If you do all of these things correctly, there shouldn’t be a single employer who won’t hire you.
